Guesthouse Policies

When is the check-in time?

Check-in on-site is from 14:00 to 18:00. After 18:00, check-in is available only through self-check-in. Guests can retrieve their keys from a lockbox placed by the entrance door.

Can I check in before 14:00?

Arrivals before 14:00 are always on request and subject to availability, but we will do our best to accommodate your request. Please make sure to contact us before your arrival date to ensure a smooth check-in.

Can I leave my luggage if the room is not ready before 14:00?

Yes, you are welcome to leave your luggage with us until the rooms is ready. Meanwhile, we will do our best to prepare your rooms sooner and offer you an earlier check-in.

Can I arrive after 18:00?

For arrivals after 18:00, we can arrange self-check-in. You can access the property and your room by retrieving the keys from a lockbox placed by the entrance door, allowing you to let yourselves in when you arrive. However, this must be confirmed by the Front Desk before arrival. Therefore, please inform us promptly of any delays or late arrivals.

Is there a front desk at your guesthouse? Will someone greet me when I arrive?

Yes. Our front desk is open and staffed from 10:00 to 18:00, and our team will happily welcome all guests arriving during this time. After 18:00, check-in is available only through self-check-in.

When is the check-out time?

Check-out time is until 11:00. However, if you need a later check-out, contact us before arrival, or during your stay, and we will do our best to accommodate your request. If a later check-out should not be possible, you are welcome to leave your luggage at reception and retrieve it at a later time.

How can I do self-check-in?

Guests must first complete the online registration through our pre-check-in portal https://guestportal.si and pay the tourist tax via a secure payment link before arriving. Once both steps are done, our staff will send detailed instructions on how to access the lockbox and enter the room.

Can I smoke in the room?

Smoking inside any establishment is prohibited in Slovenia according to the legislation act Restriction on the Use of Tobacco and Related Products Act (Zakon o omejevanju uporabe tobačnih in povezanih izdelkov – ZOUTPI (Uradni list RS, št. 9/17 z dne 24. 2. 2017). Therefore, we ask guests to respect the fact that all our rooms are strictly non-smoking rooms. We reserve the right to charge an exceptional flat-rate cleaning fee of 100,00 EUR for smoking in our rooms.

Are pets allowed at your property?

Pets are allowed at our guesthouse at an extra charge of 10.00 EUR per pet, per night.

Can I get an extra bed in the room?

The general occupancy is 1-2 persons per room. Extra beds for a third or fourth occupant are allowed only in the 1-Bedroom Apartment (surcharge applies), all other rooms have no available extra space. Reservations of extra beds must be arranged before arrival and are only final when confirmed by our guesthouse.

Is my child entitled to a free stay or discount?

All children up to 2 years old stay free of charge when using the existing bedding or baby crib. All children from 3 to 12 years old pay an additional 25.00 EUR/night when using the existing bedding or an extra bed. Individuals above the age of 12 are considered adults by our guesthouse. An adult person in a room is charged 40.00 EUR/night for using an extra bed.

Do we have to pay extra if our child sleeps with us in the bed?

Children from 3 years old to 11 years old can stay for 25.00 EUR per child per night in existing bedding. Children 12 years old and over stay for 40.00 EUR per child per night in existing bedding.

How do I make an online reservation?

To make a reservation, please visit www.viva-rooms.com. Enter your preferred arrival and departure dates, along with the number of rooms you need. You will have the opportunity to select the number of adults and children in the next step. Follow the on-screen instructions to complete your booking. Once your reservation is successful, you will receive a confirmation email.

I have made a reservation but didn’t receive any confirmation.

How can I confirm my reservation?

Reservations can be confirmed by providing your credit card details for a pre-authorisation or by making an advance payment as a guarantee of your arrival.

Am I required to enter my credit card details to book a room on your website?

Yes. A credit card number is required to book a room at our guesthouse. For your security, the credit card number will be encrypted before being transmitted over the internet.

I’m having trouble making an online reservation. Is there a number I can call for help?

If you encounter any issues during the reservation process, please call our Front Desk at +386 40 901 555 or send an e-mail at info@viva-rooms.com.

I am unable to complete my reservation because the website is stuck in an endless processing loop. What should I do?

It is likely that our system cannot process your credit card due to issues with 3DSV or 3DSV2 security protocols. Please contact your credit card provider or the issuing bank to check if there are any restrictions on online authorisations or if your credit card supports 3DSV or 3DSV2 security protocols.

Why do I have to provide my credit card number during the reservation process?

To confirm your reservation, we will require your credit card details for a pre-authorisation at any time before your arrival date. Pre-authorisation acts as a credit check to ensure that your credit card is valid and has sufficient funds available to cover all or part of the reservation costs. During the pre-authorisation process, the amount for your reservation will be temporarily held as unavailable for a specified period. If you select one of our non-refundable or pay-in-advance offers, your credit card will be charged the full amount at the time of reservation.

My credit card is valid. Why can’t I complete my reservation?

Please double-check that all the information from your credit card has been entered correctly, and verify the type of credit card you are using. We only accept MasterCard, Visa, and American Express. If all the details are accurate, please reach out to your credit card provider or your issuing bank to inquire about any limitations regarding online authorisations, or to confirm whether your credit card supports 3DSV or 3DSV2 security protocols.

How can I book a room if I don’t have a credit card?

If you do not have a credit card, we can prepare a pro forma invoice and send it to you via email. In this case, payment must be made by bank transfer prior to your arrival. To request a pro forma invoice, please email us at info@viva-rooms.com.

Changes, Cancellations and Payments

Can I cancel or change my reservation free of charge?

Whether you can change or cancel your reservation without incurring a fee depends on the cancellation policy you selected during the booking process.

 

The cancellation policy is shown when you choose your preferred room type and rate, and it is also included in the confirmation details of your reservation. We kindly ask that you pay close attention to the terms and conditions while making your booking, as exceptions to the policy may not be possible later on.

How can I change or cancel my confirmed reservation?

To change or cancel your reservation, please send an email to info@viva-rooms.com.

What happens if I forget to change or cancel my reservation?

Unfortunately, if you fail to change or cancel your reservation on time, you will be charged the total amount of the reservation.

Can I pay when I arrive at your guesthouse?

When making a reservation, you have the option to pay upon arrival. However, we will require your credit card information to perform a pre-authorisation, which secures your booking. For more information on pre-authorisations, please refer to our Guesthouse Policies.

Our Facilities and Services

Can I reserve a parking space?

Viva Rooms is situated in Ljubljana’s centre, which is a car-free zone, so we do not have a parking area. However, parking is available on the nearby streets and in parking lots.

Where can I park my car?

Parking in the street costs 0.80-1.30 EUR per hour, and it is free from 19:00 till 7:00. Please be aware that you must renew the parking ticket every 2 hours, and you cannot prepay parking for an entire day.

 

To ensure a more comfortable stay, we recommend parking in one of the nearby public parking areas. The most affordable option is about a 10-minute walk away on Trg osvobodilne fronte (near the main train/bus station), costing 10 EUR/day. Another option is Tivoli Park, also around 10 minutes from us, with rates of approximately 15 EUR/day. For maximum convenience, you can use the Union Hotel underground garage on Miklošičeva Street, located just across the street from us, at roughly 21 EUR/day.

Is there free parking?

There are no free parking options anywhere in the area.

Can we stop in front of your guesthouse to leave the luggage?

You can briefly stop (max. 5-10 minutes) in front of our building to unload the luggage. However, we recommend that someone stays in the car in case local authorities carry out any checks.

We have an electric car. Where can we charge it?

You will find a charging station, on the other side of the street, across from our building. You can also check the interactive map for additional charging stations on the website Gremo an elektriko.

We are arriving by bus/train. Do you offer a transfer service from the main station?

We do not provide a pick-up service from the station; however, you can call a taxi yourself or ask us to arrange one for you. Please be cautious and avoid taking any of the taxis waiting in front of the station, as they often overcharge.

I read you offer transfers. Can I reserve one from the bus/train station?

We only provide intercity transfers. If you need a transfer from the bus or train station, you can either call a taxi yourself or we can call one for you.

Do you offer airport transfers?

We offer airport transfers in collaboration with our partner, Welcome Pickups. If you need a transfer to or from Ljubljana Airport, you can book it directly by clicking on this link.

 

Since Viva Rooms’ reception hours are limited, please confirm your scheduled arrival time and review our policies regarding late check-ins before booking a transfer.

How much does an airport transfer cost?

The standard fare is 47 EUR per trip. Please note that the price may increase if you travel with more than three pieces of luggage. For a precise estimate, we recommend visiting our booking page. There, you can enter the date and time of your transfer, as well as the number of passengers and pieces of luggage.

Can we store our bicycles?

We do not have a dedicated bicycle storage room, but bikes can be locked in the courtyard behind our building. Please note that the courtyard is not secured, so we cannot take responsibility for safety.

 

If you prefer a more secure option, we recommend storing your bicycles in the covered bike shed at Kongresni trg garage (accessible with an Urbana card).

We travel with high-end/expensive bicycles. Can we store them in our room?

Storing bicycles in our guestrooms is not permitted due to space limitations.

Do all of your rooms offer a view?

All of our rooms offer a view of the famous Miklošičeva Street.

Do you serve breakfast?

Our guesthouse does not serve breakfast; however, the staff is happy to provide great recommendations for nearby breakfast options.

Is breakfast included in my reservation?

Breakfast is not included as it is not offered at our guesthouse.
